Hotel Email Marketing Procedures 1. You will create the content for your newsletter and send it to us in a Word document. For each newsletter that is emailed, you will need to decide on what should be used in the subject line as well. See the links below in the Tips section for guidelines on creating your content. Ideas for content include: specials, events, promotions, packages, news stories about your hotel, or hospitality industry news. 2. HotelTravelCheck.com (HTC) will create a customized newsletter template for you that will have the same look and feel as your web site. Once you approve of the new template, we will insert your content. 3. If you have an existing database of emails, you can send it to HTC and we will import it into our system. We will add these email addresses to the email addresses that we collect from the form on your web site. 4. Once the newsletter is ready to go and has been approved by you, we will send out a test email. This is your final chance to edit any copy and check for mistakes. It is very important to proofread your newsletter to ensure that it doesn't go out with any errors. 5. You will determine the date you would like to have us send out your newsletter. We have found that emails get the best response if they are sent out on Tuesday or Wednesday morning at 10:00AM PST. 6. On the 2nd day and 7th day after your email is sent out, HTC will email you a detailed report with the valuable results. The report will include information on how many emails were sent, how many emails were delivered vs. undeliverable emails, how many people opened the message, and whether or not they clicked on any links.
